Inviting Team Members

4 minLast updated: 2025-01-15
teaminvitememberscollaboration

RIVET is built for teams. Invite your project managers, accountants, and field staff to collaborate on projects with the right level of access for each role.

Team Structure Overview

Your firm can have multiple team members, each with a specific role that determines what they can see and do in RIVET. The available roles are:

Owner

Full access to everything including billing and firm settings

Manager

Can manage projects and team members, but not billing settings

Staff

Can work on projects but cannot change settings or invite users

Viewer

Read-only access to view projects and reports

Team Size Limits

The number of team members depends on your subscription plan:
Starter: 3 membersPro: 10 membersScale: 50 members

Inviting Team Members

1

Access Team Settings

Navigate to Settings > Team in the portal sidebar, or click your firm name and select "Team Members" from the dropdown.

2

Click Invite

Click the "Invite Team Member" button in the top right corner of the team page.

3

Enter Details

Fill in the invitation form:

1.
Email Address - The email where the invitation will be sent
2.
Name - The team member's full name (optional but helpful)
3.
Role - Select the appropriate role from the dropdown
4

Send Invitation

Click "Send Invitation" to email the invitation. The recipient will receive an email with a link to join your firm.

Bulk Invitations

Need to invite multiple people? You can send several invitations back-to-back. Each person will receive their own unique invitation link.

What Happens Next

For New RIVET Users

When someone who doesn't have a RIVET account clicks the invitation link:

  1. 1.They'll be taken to the RIVET sign-up page
  2. 2.They can create an account with email or Google
  3. 3.After signing up, they'll automatically join your firm
  4. 4.They'll have the role you assigned in the invitation

For Existing RIVET Users

If someone already has a RIVET account:

  1. 1.They'll click the invitation link
  2. 2.They'll be prompted to sign in if not already
  3. 3.They'll see a prompt to join your firm
  4. 4.After accepting, they'll be part of your firm with the assigned role

One Firm at a Time

Currently, each RIVET account can only belong to one firm. If the invitee is already part of another firm, they'll need to leave that firm first, or create a new account with a different email.

Managing Pending Invitations

In the Team settings, you can see all pending invitations that haven't been accepted yet:

↻
Resend

Send another copy of the invitation email if the original was missed

✕
Cancel

Revoke the invitation if it was sent in error

ⓘ
Check Status

See when the invitation was sent and if the link has been clicked

Invitation Expiration

Invitation links expire after 7 days for security. If an invitation expires, simply send a new one.

Changing Team Member Roles

To change someone's role after they've joined:

1
Go to Settings > Team
2
Find the team member in the list
3
Click the "..." menu on their row
4
Select "Change Role"
5
Choose the new role from the dropdown
6
Confirm the change

Owner Role

There must always be at least one Owner on the firm. If you're the only Owner, you'll need to assign another Owner before changing your own role.

Removing Team Members

To remove someone from your firm:

1
Go to Settings > Team
2
Find the team member in the list
3
Click the "..." menu on their row
4
Select "Remove from Firm"
5
Confirm the removal

When someone is removed:

  • •They immediately lose access to all firm data
  • •Their RIVET account remains active (they can join another firm)
  • •Any work they did (edits, created projects, etc.) remains in your firm
  • •You can re-invite them later if needed

Best Practices

Start with limited access

Give new team members the Staff or Viewer role initially, then upgrade as needed

Multiple Owners

Consider having at least two Owners so firm access isn't dependent on one person

Regular review

Periodically review your team list and remove anyone who no longer needs access

Appropriate roles

Match roles to actual job responsibilities. Not everyone needs Manager access
