Document Management Overview

Introduction to RIVET's document management and OCR capabilities

RIVET's Documents section provides intelligent document management with OCR-powered data extraction. Upload invoices, receipts, and AIA documents to automatically extract key information and streamline your billing workflow.

What is Document Management?

The Documents section is your central hub for managing all construction-related documents. When you upload a document, RIVET uses Mindee's advanced OCR (Optical Character Recognition) technology to automatically extract key data like vendor names, amounts, dates, and line items.

Automatic Extraction

OCR technology reads your documents and extracts vendor, amount, date, and other key fields automatically.

AIA Classification

Automatically identifies G702, G703, and change order documents for proper categorization.

Accounting Integration

Post processed documents directly to QuickBooks Online or Xero as bills.

Searchable Archive

All documents are stored securely and can be searched, filtered, and retrieved anytime.

Supported File Types

RIVET accepts the following document formats for upload and OCR processing:

Best Results

For the most accurate OCR extraction, use PDF files or high-resolution scans (300 DPI or higher). Avoid blurry photos or documents with heavy watermarks.

Document Workflow

Documents flow through several stages in RIVET:

Upload

Drag and drop or select files to upload to RIVET

Processing

Mindee OCR extracts data and classifies the document type

Review

Verify extracted data and make corrections if needed

Post

Create bills in QuickBooks or Xero from the extracted data

Accessing Documents

To access the Documents section:

  1. Click Documents in the left sidebar
  2. Use the filter options to narrow down by status, source, type, or date
  3. Click on any document to view details and extracted data
  4. Use the Upload button to add new documents

Quick Access

The Documents section shows all documents across your firm. Use the project filter to see documents related to a specific project.
