Signature Workflow

Request signatures and track lien waiver completion status

RIVET helps you manage lien waiver signatures, from requesting signatures from your team to tracking which waivers have been signed and submitted to the GC.

01. Signature Methods

RIVET supports multiple ways to sign lien waivers:

In-App Electronic Signature

Sign directly within RIVET using drawn or typed signatures.

  • Fastest method
  • Signature stored for future use
  • Timestamp and IP logged

Download and Sign

Download the PDF, sign physically or with other e-sign tools, then upload the signed copy.

  • Works with existing signature processes
  • Good for notarized waivers
  • Requires manual upload

02. Who Signs the Waiver

Lien waivers should be signed by someone authorized to waive lien rights on behalf of your company:

  • Owners/Principals - Always authorized
  • Officers - Usually authorized (CEO, CFO, President)
  • Project Managers - May need explicit authorization
  • Notary - Witnesses signature, doesn't sign the waiver

Authorized Signers Only

Waivers signed by unauthorized employees may be invalid. Verify who in your organization can legally sign waivers.

03. Internal Signature Workflow

Setting Up Signers

  1. Go to Settings > Firm Settings
  2. Navigate to Authorized Signers
  3. Add users who can sign lien waivers
  4. Configure their signature (drawn or uploaded)

Requesting a Signature

  1. Generate the lien waiver
  2. Click Request Signature
  3. Select the authorized signer
  4. Add an optional message
  5. Send the request

Completing the Signature

  1. Signer receives email notification
  2. Opens the waiver in RIVET
  3. Reviews the document
  4. Applies their signature
  5. Document is marked as signed

04. Tracking Signature Status

Each lien waiver shows its signature status:

UnsignedGenerated but not yet signed
Pending SignatureSignature requested, waiting for signer
SignedSignature applied
SubmittedSent to GC with pay application

05. Waivers with Pay Applications

The typical workflow when submitting a pay application:

  1. Complete your pay application in RIVET
  2. Generate the conditional lien waiver
  3. Sign the waiver (or request signature)
  4. Submit pay app and waiver together to GC
  5. Mark waiver as submitted

Submit Together

GCs typically want the waiver with the pay app. Submitting separately can delay processing.

06. After Receiving Payment

When payment is received, generate the unconditional waiver:

  1. Record payment receipt in RIVET
  2. Generate unconditional waiver for the period
  3. Sign the waiver
  4. Submit to GC (may be required before next payment)

07. Bulk Signing

For efficiency, authorized signers can sign multiple waivers at once:

  1. Go to Lien Waivers > Pending Signatures
  2. Select multiple waivers
  3. Click Sign Selected
  4. Review each waiver briefly
  5. Apply signature to all

08. Notarization Requirements

For states requiring notarization:

Process

  1. Generate the waiver in RIVET
  2. Download the PDF
  3. Sign in front of a notary
  4. Notary stamps and signs
  5. Upload signed and notarized copy to RIVET

Remote Notarization

Many states now allow remote online notarization (RON). Check if your state permits this for lien waivers.

09. Audit Trail

RIVET maintains a complete audit trail for each waiver:

  • When generated and by whom
  • Signature request date and recipient
  • Signature date, time, and IP address
  • Download and submission history

10. Common Issues

Signer Unavailable

If your usual signer is unavailable, check if another authorized signer can complete the signature.

Signature Rejected

If a GC rejects a signature (e.g., wrong person), you'll need to regenerate and sign with an authorized representative.

Missing Notarization

If the GC requires notarization and you didn't include it, the waiver will be rejected. Always check requirements for notarized states.

11. Best Practices

Pre-Setup Signatures

Have all authorized signers set up their electronic signatures in RIVET before you need them urgently.

Same-Day Signing

Try to sign waivers the same day as pay app submission. Delays in signing can delay your payment.

Verify Before Signing

Review amounts and dates before signing. Once signed, a waiver is difficult to retract.
